# How do I set up Audience Campaigns?

## Discover how to enable and configure Audience Campaigns so exhibitors can build targeted attendee lists and send email campaigns from the Sponsor Portal, while you stay in control of who they can reach and what they send.

Audience Campaigns gives your exhibitors and sponsors a new way to connect with attendees before the event. From the Sponsor Portal, companies can browse eligible attendees, build lists and send branded email campaigns. As the organiser, you decide which attendees are included, what information exhibitors can see, how many lists and campaigns each company gets, and whether campaigns must be approved before they are sent.

### **Understanding Audience Campaigns**

Audience Campaigns is set up in two parts:

- **Event-level settings** control how the feature works for everyone: the sending email domain, which attendees are eligible, whether campaigns need approval, and which attendee fields exhibitors can see.
- **Campaign products** control which companies get access and how much they can use. Each Campaign product sets a maximum number of lists, leads per list and campaigns per list. You then assign the product to companies, just like any other product in Grip Manage.

Once a company has a Campaign product, an **Audience Campaigns** tab appears in their Sponsor Portal. To see how exhibitors use it, read **How do exhibitors use Audience Campaigns in the Sponsor Portal?**

### **Before you begin configuring Audience Campaigns**

- **Audience Campaigns must be activated for your event.** Contact the Grip team to have it switched on. Once activated, you will see an **Audience Campaigns** option in the Companies settings menu.
- **You need a verified sending email domain.** Exhibitor campaigns are sent from a domain you choose. [Visit this page to see how to set up domain identities in Grip Manage.](https://support.grip.events/how-do-i-set-up-email-domain-in-grip-manage?hsLang=en)
- **Your ticket types should already be set up**, as you will choose which ticket types are eligible to receive campaigns.

You can use the same domain as your registration emails, but we recommend a separate domain for Audience Campaigns. This makes it easier to track exhibitor campaign emails separately from your own event communications.

### **How to configure Audience Campaigns**

##### **Step 1: Turn on Audience Campaigns and choose the sending domain**

1. Go to **Companies \> Settings**.
2. In the left-hand menu, select **Audience Campaigns**.
3. Under **General**, set **Status** to **Enabled**.
4. In **Sending Email Domain**, pick the domain exhibitor campaigns will be sent from. Only domains verified in Email Identities appear in this list.

##### **Step 2: Choose which attendees are part of Audience Campaigns**

- **Ticket Types Included:** select one or more ticket types. Only attendees holding these ticket types will appear in the exhibitor attendee list and can be added to campaign lists.
- **Terms and Conditions Required:** when switched on, only attendees who have accepted the terms and conditions will be eligible recipients.

![](https://support.grip.events/hs-fs/hubfs/undefined-Oct-27-2026-01-17-51-3484-PM.png?width=1280&height=628&name=undefined-Oct-27-2026-01-17-51-3484-PM.png)

##### **Step 3: Set up campaign approval and guidelines**

- **Campaign Approval Required:** when switched on, every exhibitor campaign must be approved by an organiser before it is sent. When switched off, exhibitors can send campaigns without organiser review.
- **Campaign Guidelines:** add guidance for exhibitors, such as your tone, content rules or anything that would stop a campaign being approved. Guidelines are shown to exhibitors while they build a campaign, and to organisers during review.

Clear guidelines help exhibitors get their campaigns approved first time and save your team review time.

##### **Step 4: Choose which attendee fields exhibitors can see**

Scroll down to **Field Visibility**. This controls which attendee fields exhibitors can see and the order of the table columns. Each field has two toggles:

- **Table column:** the field is shown as a column in the exhibitor attendee table, where exhibitors can sort and filter by it.
- **Profile card:** the field is shown when an exhibitor clicks an attendee to open their profile card. Use this for more detailed information you want available, but not in the main table.

Use the arrows next to each field to change the column order. When you are finished, click **Save Changes**.

Exhibitors only see the fields you switch on. For example, you could show Job Title, Company Name and City in the table, and add Country or custom registration questions to the profile card.

### **How to create Audience Campaigns Products and assign it to companies**

##### **Step 1: Create a Campaign product**

Campaign products decide which companies can use Audience Campaigns and their limits. You can create several, for example a Basic and a Premium package.

1. Go to **Companies \> Settings \> Products** and click **Create New Product**.
2. In **Product Type**, select **Campaign**. (Standard is used for all other product types.)
3. Enter a **Product Name** and, if you like, a **Product Description**.
4. Set the limits for this product (see below).
5. Click **Create Product**.

- **Max Lists:** the maximum number of lead lists a company can create.
- **Max Leads Per List:** the maximum number of attendees a company can add to each list.
- **Max Campaigns Per List:** the maximum number of different email campaigns a company can send to each list.

For example, a product with Max Lists **3**, Max Leads Per List **30** and Max Campaigns Per List **2** lets a company create up to 3 lists of up to 30 attendees each, and send 2 campaigns to each list.

Max Campaigns Per List counts campaigns, not individual emails. One campaign sent to a list of 30 attendees counts as 1 campaign.

##### **Step 2: Assign the Campaign product to companies**

Campaign products are assigned in the same way as any other product. They are single-unit products, so you assign them with a checkbox.

1. Go to **Companies \> Companies** and select the company.
2. Open the **Products** tab and switch the toggle to **All Products**.
3. Search for your Campaign product.
4. Tick the checkbox in the **Quantity** column and click **Save**.

![](https://support.grip.events/hs-fs/hubfs/undefined-Oct-27-2026-01-28-41-2680-PM.png?width=1280&height=628&name=undefined-Oct-27-2026-01-28-41-2680-PM.png)

##### **Step 3 (optional): Add extra capacity for a specific company**

You can give an individual company more lists, leads or campaigns than their product includes, at any time, even after they have started using Audience Campaigns. For example, you might want to give a key sponsor extra reach, or help an exhibitor who has used up their allowance.

1. In the company’s **Products** tab, find the Campaign product and click **Add Additional Capacity**.
2. Enter the extra amounts in **Additional Lists**, **Additional Leads Per List** and **Additional Campaigns Per List**. Leave a field blank or at 0 to keep the product default.
3. Check the totals shown under each field, for example "Product 3 + 1 = Total 4 lists".
4. Click **Save**.

![](https://support.grip.events/hs-fs/hubfs/undefined-Oct-27-2026-01-28-41-9197-PM.png?width=1280&height=628&name=undefined-Oct-27-2026-01-28-41-9197-PM.png)

### **Reviewing and approving exhibitor campaigns**

If Campaign Approval Required is switched on, you review exhibitor campaigns in **Companies \> Audience Campaigns**. At the top you will see:

- **Campaigns awaiting approval**
- **Exhibitors using Campaigns**, out of the total number of exhibitors
- **Campaigns sent**
- **Emails sent**

The table lists every submitted campaign with the company, campaign name, list, number of recipients, status and when it was submitted. You can search by company or campaign and filter by status.

![](https://support.grip.events/hs-fs/hubfs/undefined-Oct-27-2026-01-32-48-9561-PM.png?width=1280&height=628&name=undefined-Oct-27-2026-01-32-48-9561-PM.png)

##### **To approve a campaign**

1. Click **Preview** to see the sender, subject line, list, how many campaigns the company has used on that list, and a preview of the email.
2. If you are happy with it, click **Approve campaign** in the preview (or **Approve** in the table).

Once approved, the campaign is sent straight away if the exhibitor chose **Send as soon as it’s approved**, or at their scheduled time.

![](https://support.grip.events/hs-fs/hubfs/undefined-Oct-27-2026-01-32-48-1015-PM.png?width=1280&height=628&name=undefined-Oct-27-2026-01-32-48-1015-PM.png)

##### **To request changes**

If a campaign needs work, you can request changes instead of approving it. This is not a rejection: the exhibitor can edit the campaign and resubmit it.

1. Click **Preview** on the campaign, then click **Request changes**.
2. In **Recommendation to exhibitor**, explain what needs to change, for example "Change the subject line".
3. Click **Send request**.

The campaign status changes to **Changes requested** and the exhibitor sees your feedback in their Sponsor Portal. When they resubmit, the campaign shows as **Waiting approval** again.

![](https://support.grip.events/hs-fs/hubfs/undefined-Oct-27-2026-01-32-48-5067-PM.png?width=1280&height=628&name=undefined-Oct-27-2026-01-32-48-5067-PM.png)

Exhibitors who schedule a campaign can choose a send time no earlier than 48 hours after they submit it, giving you time to review. If a scheduled campaign is not approved by its send time, it will not be sent. The exhibitor can then reschedule it or set it to send as soon as it is approved.

### **Troubleshooting and FAQs**

**I can’t see Audience Campaigns in the Companies settings menu.**
Audience Campaigns has not been activated for your event yet. Contact the Grip team to have it switched on.

**My domain doesn’t appear in Sending Email Domain.**
Only verified domains are listed. Check the domain’s status in Event Settings \> Integrations \> Email Identities.

**An exhibitor can’t see the Audience Campaigns tab in their Sponsor Portal.**
Check that Status is set to Enabled in the Audience Campaigns settings, and that a Campaign product has been assigned to the company and saved.

**An attendee is missing from the exhibitor attendee list.**
Check that the attendee holds one of the ticket types inTicket Types Included. If Terms and Conditions Required is on, they also need to have accepted the terms and conditions.

**An exhibitor says they can’t create another list or campaign.**
They have probably reached the limits of their Campaign product. You can add extra capacity for that company in their Products tab.

**Can different exhibitors have different limits?**
Yes. Create several Campaign products with different limits, or add extra capacity for individual companies.

**Does Max Campaigns Per List limit the number of emails sent?**
No. It limits the number of different campaigns a company can send to each list, not the number of individual emails.

**Can I use the same email domain as my registration emails?**
Yes, but we recommend a separate domain so exhibitor campaign emails can be tracked separately.

**Do I have to approve every campaign?**
Only if Campaign Approval Required is switched on. You can turn it on or off in the Audience Campaigns settings.

**Can exhibitors remove the unsubscribe link?**
No. Every campaign email ends with an unsubscribe footer that is added automatically and cannot be removed, so attendees can always opt out of exhibitor campaigns.

**Where can I see how campaigns are performing?**
The summary at the top of Companies \> Audience Campaigns shows how many exhibitors are using campaigns and how many campaigns and emails have been sent.
