In this document, we outline the various definitions that apply to contracts and the overall Grip platform.
General
Application License
It is a requirement that every client purchases an Application License for an explicit number of events that is clearly stated in your contract. The platform license is a minimum of 12 months but typically 24 months. We also accommodate multi-year licence agreements to enable you to get access to additional discounts.
The Application License starts on the first day of the month and a minimum two months prior to the date of your first event or when your Grip Project Manager builds your application (whichever is sooner).
In general, the application license is non-refundable. However, we can review exceptional circumstances.
Should you wish to upgrade your licence ahead of your renewal date, the previous licence end date would be the date you upgrade. Your new application licence would then start immediately.
License Add-Ons will be a pro-rata for additional months that are part of the new license. As an example, assume you purchases the Mobile App Add-on for £2,000. After 6 months you’ve run out of events on your License and would like to upgrade your License to a larger one for the coming 12 months. This means that for the Mobile App Add-On you have to pay an additional £1,000 as part of your upgrade for the additional 6 months that you’ll use it for.

Application Licence Add-On
Application Licence Add-Ons are additional features that you can add to any of the events that are part of your Application Licence. You need to have a licence to purchase any Application Licence Add-Ons.
Application Licence Add-Ons are valid for one year from the Application Creation Date.
Active Event Participant
An active event participant is any individual (such as an attendee, exhibitor representative or speaker) that logs in to an event they are signed up to attend.
An individual will only be counted as an Active Event Participant if they log in to any given event they are signed up to attend within your application.
If a single attendee registers and attends two of your events within your application, you will use two event participant credits.
Event Specific Add-Ons
Event-specific add-ons are features that are purchased on an event by event basis.
Monthly Subscription
For any given event within your application that you wish to keep open for ongoing engagement longer than the 30-days post-event that comes as standard, you can purchase a monthly subscription. There is no limit on how far before an event takes place can be opened in the Platform.
Event
An event on Grip is up to 7 consecutive days in length. Each is inclusive of an unlimited amount of Sessions and Meetings that can take place.
An event can either be virtual, in-person or hybrid.
Profile
A profile can be an exhibitor, visitor, speaker, product or any other kind of profile. A profile can be part of various listings, logged into and interacted with through meetings or preference selection.
Regardless of the number of profiles, only active event participants are chargeable.
Data Type
Grip relies on Data Types within an application. A Data Type in Grip can have unique Permissions, Metadata, Relationships, Recommendations and many other fundamental layers in Grip.
Depending on your contract, there is a limit on how many Data Types you can have inside Grip.
By default, you have access to 10 Data Types within your application. You can name each Data Type based on the naming convention you wish for each profile type, for example, Attendee, Speaker, Exhibitor, Exhibitor Representative and Product.
If you would like to have more Data Types, you will need to purchase the large event add-on.
Standard Support
By purchasing a licence with Grip, you will receive the following support:
- A dedicated Project Manager during the implementation phase of your event and will work on configuration, data integrations/uploading and troubleshooting.
- Two hours a week are included during the implementation phase for a maximum period of 6 weeks. You will also have a weekly status call of 30 minutes.
- A dedicated Client Success Manager during the implementation phase of your event and will work on building marketing materials, training the show team on the Grip Dashboard and achieving alignment of your event goals and the implementation of Grip. The Customer Success Manager can also do a single Exhibitor Webinar training which can be delivered leading up to the event.
- One hour a week is included during the implementation phase for a maximum period of 8 weeks.
If you need additional hours of Project Management or Customer Success Management support, this will be charged for by Grip unless otherwise agreed in writing.
Specific
Basic Integration Add-On
A registration provider that Grip has integrated with before and, we are confident the integration does not require anything more than just a change in the mapping. Ask your Sales Representative for a list of pre-approved Registration Systems that fall under the “Basic Integration Add-On”
Advanced Integration Add-On
A registration provider that we have not integrated with before. An advanced integration can also include a complex registration integration, such as a CRM.
Seamless Login Add-On (Single Sign-On)
We can integrate with different SSO systems to provide a seamless experience across various interfaces. More details on Grip SSO and the supported protocols here.
Grip Teams (Inbound Leads, Products, Shared Calendar)
To provide an enhanced experience for exhibitors and sponsors, Grip Teams is an excellent option.
It enables exhibitors and sponsors to invite additional team members, a combined schedule of all meetings their team is having, inbound leads overview, contacts overview and the ability to create profiles such as Products if you allow it.
Grip Teams Monetization Packages
We can provide you with a way to create configurable Monetization Packages to up-sell Sponsors and Exhibitors. Monetization packages can be a powerful way to drive additional revenue based upgrades you can make available to increase visibility and access more leads.
If you purchase the Monetization Add-On, then you’re able to use the functionality at your events. The only fee taken by Grip is the Stripe processing cost.
The set up of Grip Teams Monetization will come at a flat fee of £1,000 per event for either option.
Extra Hours: Project Management or CSM
If you need additional hours of Project Management or Customer Success Management support, this will be charged for by Grip unless otherwise agreed in writing.
Extra Hours: Integration Engineer
If Grip needs more time than outlined above to complete any given integration work, this will be charged for by Grip unless otherwise agreed in writing.
Payment Terms
The Grip “License” and Grip “Licence Add-Ons” are subscriptions that are billed annually in advance and payment is due 30 days from contract signature or date of renewal.
Grip “Event Specific Add-Ons” are billed prior to each event and payment is due within 30 days.
Grip “Active Event Participants Bundles” and Grip "Monthly Subscription” are billed after each event and payment is due within 30 days.
Cancellation Policy
The Grip “LIcense” is non-cancellable and will run for the duration of your contract term. Equally Grip “License Add-Ons” must be consumed annually and to the dates agreed. If a client event is cancelled or the date is moved, the Licensee must inform Grip 60 days in advance of the event start date for that event to be rolled forward within the annual contract period. The Licensee must consume all events purchased within the annual contract period.
